A worked example
A branding project, quote to invoice
A freelance brand designer quotes a new client three line items — discovery workshop, logo design, and a style guide — totalling €3,200 including VAT, valid for 30 days. The client opens the portal link, reads the lines, and clicks Accept; the timestamp and their IP are recorded automatically. The designer clicks Factureren once: a draft invoice appears with the same three lines, same amounts, same VAT rate, ready to send. If the client had let the quote lapse past its valid-until date instead, "New quote based on this one" would rebuild the same three lines under a fresh quote number in seconds — no retyping from scratch.
Frequently asked questions
Can I convert the same quote into an invoice twice?
No. Converting is idempotent — a second attempt on a quote that's already been converted is rejected outright, so a client can never end up billed twice for one accepted quote.
What happens once a quote expires or gets declined?
The old actions disappear and the quote is frozen, but you're not stuck: "New quote based on this one" copies the buyer, project, reference, and every line into a fresh draft with its own new quote number, ready to send again. A never-invoiced expired or declined quote can also be deleted outright to clear the list.
Does sending a quote cost anything?
No usage is metered for sending a quote today — unlike an invoice send, which is €0.20. Drafting, sending, and converting quotes is free while your account has invoicing enabled.
Can my client accept a quote online, not just by email reply?
Yes. Every sent quote links to a public portal page where the client can accept or decline with one click — the click is timestamped, so there's a record of who responded and when.
Is there a subscription for using Quotes?
No. Quotes shares the invoicing entitlement — if invoicing is enabled on your account, Quotes is included at no extra cost.
