1. Who we are

BlueLandscape is operated by BlueLandscape B.V., registered in the Netherlands. We act as a data processor on behalf of our customers (data controllers).

2. What data we collect

• Account users: Email address, name (for account management and authentication)
• Respondents: Email address, conversation transcripts (for research feedback purposes)
• Quote recipients: IP address and browser (user-agent), recorded when you accept or decline a quote via its portal link — kept as evidence of the decision. Legal basis: legitimate interest (Art. 6(1)(f) GDPR).

3. How we use your data

We process data solely for providing the feedback service. Conversation data is processed by AI to extract research insights.

4. AI processing

Conversations are processed using Claude (Anthropic). Data is temporarily sent to US servers under Standard Contractual Clauses (SCCs). Anthropic does not train on API data. We plan to migrate to EU-based AI processing.

5. Data storage

All data is stored on DigitalOcean servers in Amsterdam (AMS3), EU.

6. Data retention

Respondent session data is automatically anonymized after 90 days, a platform-wide window. A shorter window can be arranged by emailing privacy@bluelandscape.io. Anonymization replaces the respondent's email address and removes email addresses, phone numbers and street addresses from the conversation transcript. The AI-generated summary and quoted excerpts are not further redacted, so a name or other self-identifying detail the respondent volunteered may still appear in them.

7. Your rights

You can request erasure of your data by contacting privacy@bluelandscape.io.

8. Cookies

We use two kinds of cookies:

• Essential — authentication and session management. These are always set and cannot be opted out of, because the site cannot function without them.
• Analytics (Google Analytics 4) — only set if you click "Accept all" on the cookie banner. Used to understand how the site is used in aggregate. Analytics IP addresses are anonymized. We do not use cookies for advertising or cross-site tracking. (This anonymization does not apply to the quote-portal IP address described in section 2 — that is kept as evidence, not analytics data.)

You can change your choice at any time via the "Cookie preferences" link in the footer.

9. Sub-processors

• Anthropic (AI processing, US, SCCs)
• Resend (transactional email)
• DigitalOcean (hosting, EU)
• Scaleway (hosting for our non-production test environment, EU — Amsterdam)
• Sentry (error monitoring for the web app running in your browser only, US, SCCs) — receives technical error reports that can include your IP address, request headers and the address of the page you were on. Not the contents of your invoices, documents or messages. Server-side (backend) errors are logged on our own EU infrastructure and never reach Sentry.
• Stripe (payment processing, US/EU, SCCs) — only if you top up your balance.
• Google (Analytics — only after you opt in via the cookie banner)
